Safety is critical during an exhibition and organisers and venues are very focused on ensuring that risks and accidents are eliminated. To help prepare yourselves, consider the following key points:
  • Study the organisers' manual.
  • Understand that venues differ and that what may be safe in one may be dangerous in another.
  • Always alert the organiser if you think that you may have a safety issue that needs consideration.
  • Specially designed stands (custom builds), often require meticulous construction. Deviation from the plans can cause serious structural problems and may even cause injury. Adherence to plans is essential.
  • Prepare your team with awareness skills for personal safety. Investigate whether you are liable for any injuries to visitors while they are on your stand or if you are covered by the organiser's venue's insurance policies.
  • Know where to find medical emergency centres when on-site.
  • Be sure you will recognise an alarm signal if it is sounded.
  • Brief your staff on what to do in an emergency.
  • Prepare a disaster recovery plan including a list of key telephone numbers.
  • During the show ensure that there is a clear chain of authority.
Check your requirements for Public Liability Insurance. Make sure you have sufficient cover and remember that you may be required to furnish proof.
